Get your organisation up and running with Noted's Scheduling tool

Noted's Scheduling feature provides a quick and easy way to schedule appointments for your organisation.

For information on using the Booking screen to manage and schedule appointments, read this article.

In order to use Noted’s Scheduling feature you first need to set this up for your organisation. This involves defining:

  • What services you wish to book

  • What spaces you wish to manage

  • Which workers provide which service

  • What times your workers are available

All of this is done in the Administration area. If you can’t access Administration, discuss with your organisation administrator about setting up Scheduling.

How you and your team work with clients and share spaces relates to how you set up and use Scheduling.

If each worker in your team has their own room and only one room, this selection of videos will help explain how to best setup and use Scheduling.

If you work across multiple rooms, either on your own or within a team, this selection of videos will help you make the most of Scheduling.

Setting up Services 

1. In Administration, select Organisation from the menu

2. Select Services and click Create

3. Enter the name, brief description and price of your service

4. Select the types of resources that are required for this service, Worker and/or Space

Note: A worker or space is required to save a service

5. To select a resource, open the drop down menu by clicking on the arrow or simply type the resource’s name into the bar. You can select multiple resources

Tip: You can quickly create new spaces easily by typing the name into the bar, for example Sunroom, then clicking the Create Sunroom button

6. Select a colour by clicking on the white box. This allows you to easily identify a particular service on your Booking screen 

7. Once you’ve added all necessary resources, add a duration for this service then click Save

Tip: To edit or delete a service, navigate to the far right column and select the three dots.

Setting up Spaces

Spaces can be anything from rooms to cars, depending on your service’s requirements. 

If your workers work in a specific room, then there is no need to add spaces. Booking the person is the same as booking the room.

If your workers work across a number of spaces, any of which could be booked out, then you need to add spaces.

1. In Administration, select Organisation from the menu

2. Select Spaces and click Create

3. Enter the name and a brief description of your space

4. Select the services that will take place in this space. You can select more than one, all services by clicking on Select all services, or none at all

5. To select a service, start typing the name into the bar 

6. Once you’ve finished click Save

Tip: To edit or delete a space, navigate to the far right column and select the three dots.

Assigning Services and setting up Working hours for a User 

1. In Administration, select Users from the menu

2. Select a user then click on Linked services

3. Assign a service by opening the drop down menu with the arrow, or simply by typing the name into the bar

4. Click Save once you’re done

5. Navigate to Working hours

Note: A Worker cannot be booked for an appointment until their Working hours have been set up.

6. To set up working hours, open a day and toggle the Working switch on 

7. Click on the boxes to change the start and end times then click Save
