When you create a client and Noted recognises them as a potential duplicate, a pop-up will appear asking if the client is a different client or a duplicate.
There are however situations where duplicate clients can still slip through so organisation admins have the ability to merge duplicate clients in the Administration -> Clients -> Merge duplicates screen.
What is considered a potential duplicate?
NHI numbers are equal
Emails and First names are equal
First and Last names are equal
Last name and DOB are equal
Note: Names are capital-sensitive e.g SMITH and Smith will not be seen as duplicates
Merging duplicate clients
Click on a row to open the compare view
Select from the dropdown which client you want to compare with
Review the comparison and if necessary press "Swap clients" at the top of the table to change which is the target client to merge into
Click merge clients and review the information in the pop-up
Tip: Carefully review which client you want to merge from and to, one thing to note is that one client might have more up-to-date information than the other.
Note: Pay attention to the information that will need to be migrated manually to ensure the target client has all the correct information.
Marking clients as not duplicate
It is common when comparing potential duplicate clients that the two are actually separate real people. In this case they can be marked as not duplicate and will no longer appear in the potential duplicates list.
